What this is
This is an internal customer and project tracking tool for one engineering company, used only by its staff. It is not a public service and there is no self-registration: accounts are created by an administrator.
What it stores
- Staff accounts: username, display name, role, language preference, and a hashed password.
- Inbound enquiries as received, and the company, contact and summary derived from them.
- Client records: company name, country, website, and contact name, email, phone and role.
- Projects: titles, summaries, stages, timeline entries, comments, and files uploaded by members.
Who can see it
Only signed-in staff. Members see only the projects they belong to; administrators see everything. Files never get a public link and are served only through an authenticated route.
Third parties
- OpenAI: pasted enquiry text is sent to OpenAI's API to be turned into a structured card.
- Google Drive: database backups are uploaded to the company's own Google Drive account.
- Hostinger: server hosting.
Data is not sold and is not used for advertising.
Retention
Enquiries marked as not a lead stay in a dumpster for 90 days and can then be deleted permanently. Backups keep 30 daily and 12 monthly copies. Projects are kept after archiving so the history remains available.
